Surf Payroll allows you to set up the default email ID which is used to send emails with payslip attachments to the employees and the payslip email body template. To view the steps to manage the email settings, click the links below.
To manage the email settings, you need to first move to the Settings page. After you log in to Surf Payroll , there can be either of the following scenarios:
- The logged in account has a single Business
- The logged in account has multiple Businesses
The steps to move to the Settings page are different in each of the above scenarios. The steps are provided below scenario-wise.
1. Log in to Surf Payroll.
2. The Dashboard page appears. On the left panel, click Settings.

2. The Employees page appears. On the left panel, click Settings.
Setting up default e-mail
To set up the default e-mail, complete the following steps.
1. On the Settings page, under the EMAIL heading, click Email Settings.
2. The Basic Email Settings window appears. On the Basic Email Settings window, enter or update the following information.

ACCOUNTS MAIL | Emails to employees will be sent from this default email ID. |
Use Additional Email as CC for Payslip | If you select this option, the email will also be sent to the additional email ID of the employer, if configured. |
- To save the default email ID, click Save.
Setting up E-mail Templates
The email has different sections or fields such as the subject and the body. You may choose to insert pre-configured content placeholders, known as e-mail templates, in the email body fields. To set up e-mail templates, complete the following steps.
1. On the Settings page, under the EMAIL heading, click Email Templates.
2. The Email Templates page appears. To insert a placeholder in the SUBJECT and BODY fields, place the cursor on the required field and then click the required placeholder. The placeholders are available under the Payslip, Business and User fields.
3. To save the email template, click Save.
Example
The example below shows the email window with content based on placeholders. In the SUBJECT field, the Payslip For {period} placeholder was inserted.
Sending Payslip Password Notifications to One or More Employees
You can send payslip password notifications to one or more employees provided payslip passwords for the employees have been set. If no password is set, you will be given the names of the employees whose passwords are not yet set.
1. On the Settings page, under the EMAIL heading, click Email Templates.
2. The Email Templates page appears. On the Email Templates page, click the Password tab.
3. From the DEPARTMENTS list, select Select All to select all departments or the department name.
4. The employee names according to the selection appear. To select all employees, click Select All or, select the required employees.
5. To send password notifications, click Send Email.
6. If all selected employees' passwords are set, the Settings page appears, else, the following message notifies of those employees whose passwords are not yet set.
Setting up SMTP Server
Surf Payroll allows you to set your SMTP server for sending emails. To set the SMTP server, complete the following steps.
1. On the left panel, click Settings.
2. On the SETTINGS page, under the EMAIL heading, click Advanced E-Mail Settings.
3. The ADVANCE E-MAIL SETTINGS page appears. Set the SMTP server details, as appropriate and click Save.
