To close the current financial year and move to the next, use the Year End functionality. All selected employees and settings move to the new financial year. Note the settings with pending balances – for example, loans – also move. You can close the year and move to the next in either of the following two ways:
- Option 1: Finalise and submit all payroll periods to the ROS and close the year.
- Option 2: Partially generate or submit payrolls and close the year.
See below the steps to complete both of the above options.
Warning
Note that post year-end, only viewing the last year is allowed.
Option 1
1. On the left panel, click Payroll > Run Payroll.
2. The Run Payroll page appears. Now you can start finalizing payroll periods and submit payslips.
Finalization and Submission
As an illustration, the following steps show how to finalize and submit weekly frequency payroll. The same steps apply to all other frequencies.
1. On the Run Payroll page, click Run Payroll.
2. The RPN Lookup Results page appears. Click Continue.
3. If the payroll comprises one or more employees not registered with ROS, click OK on the Confirmation Message window.
4. The Payroll Process page appears. Click Yes.
5. The payslip page appears. Click the Close button.
6. The Run Payroll page appears. Click for the corresponding period and then click Finalise Period.
7. On the Confirmation Message window, click OK.
8. The Information Message window appears. Click OK. The payroll period is finalized.
9. To submit the payslips to ROS, click and then click Submit Payroll to ROS.
10. The Information Message window appears. Click OK. The payslip is submitted.
Closing 2019 and Setting up 2020
Complete the following steps.
1. On the left panel of the Run Payroll page, click Year End to launch the wizard.
2. The year-end wizard appears. To create the new tax year and move to the next step, click Next.
3. To roll all active employees to the new year and move to the next page, click Next.
4. To roll the additions and deductions to the new year and complete the 2020 setup, click Finish. The 2020 payroll year is set up.
5. On the Confirmation Message window, review the message carefully and click Process to complete the year-end process.
6. Optional. After setting up 2020, when you click the business name, you have options to view the previous tax year or the new year.
Option 2
If you have no payrolls generated, the steps are the same as in Option 1. However, if you have payrolls requiring finalization or submission, complete the below steps. |
1. On the left panel, click Year End.
2. In the Confirmation Message window, read the message carefully and type YES if you still want to go ahead.
3. Click outside the box and then click Continue.
4. The year-end wizard appears. To create the new tax year and move to the next step, click Next.
- If at this stage your business has pending payroll period finalizations or payslip submissions, you are shown the following summary:
- List of the most recent payroll period processed
- List of payroll periods not yet submitted to ROS
- List of payroll periods not yet run or processed
- To view the details, move the cursor over the icon.
- To roll all active employees to the new year and move to the next page, click Next.
5. To roll the additions and deductions to the new year and complete the 2020 setup, click Finish. The 2020 payroll year is set up.
6. On the Confirmation Message window, review the message carefully and click Process to complete the year-end process.
7. The year-end is processed.
